Registry Office

The Registry Office is a sub-direction of the Cabinet of His Excellency the Secretary General that oversees the Archive of the General Secretariat and handles all verbal notes sent to and from Member States, Permanent Missions, Ministries, and other organs via Official electronic mail (email), facsimile (fax), and regular mail through the local post services. Internal notes are another duty of the Office as well.

The activities of the Registry Office:

The Registry Office receives and transmits (Incoming, Internal, and Outgoing notes) after having them summarized and translated into the three official languages of the OIC. They are then forwarded to the Cabinet of His Excellency the Secretary General for final processing after what they are directed to their respective recipients.

The Registry Office is therefore structured as follows:

* Incoming notes Team: they summarize the content and translate it into the three official languages and then send it to the head of office for correction before submitting it to the Cabinet of His Excellency the Secretary General

* Internal notes Team: they summarize the content and translate it into the three official languages and then send it to the head of office for correction before submitting it to the Cabinet of His Excellency the Secretary General

* Outgoing notes and press releases Team:: They record the letters and memos and send them to their lofty destinations, whether by fax or e-mail, and then archive them in the electronic system (LaserFish) and the originals in the archive files after summarizing their content in the three languages. Sometimes it is required to send letters and notes verbal via express or regular mail.

The Office provides the needs of the employees of the General Secretariat with the documents (archive) they need at any time and at any circumstances..

Accordingly, it can be said that the Registry office is the sensitive point and the beating heart of the General Secretariat. Herein lies its importance.
